Structure & Beautify a Notion Internal Wiki for an EdTech Company Project Overview We are looking for an experienced Notion expert, UI/UX designer, and knowledge management specialist to take an existing draft of our internal wiki and transform it into a highly functional, beautifully structured operations hub. The company is a growing EdTech business providing education, courses, and professional development for physiotherapists, primarily serving the Indian market. We have already started building the foundation of this workspace in Notion, but we need an expert to audit the current draft, restructure the architecture, beautify the interface, and build out the remaining systems. This wiki will serve as the Single Source of Truth for the company. Objectives The objective of this project is to: Audit and refine the existing Notion draft. Beautify the workspace so it is clean, minimal, and easy for non-technical users to navigate. Organize and map out company knowledge. Document internal processes and SOPs using standardized templates. Structure course development workflows. Document marketing and sales CRM processes. Scope of Work The freelancer will be responsible for reviewing our current setup, redesigning the workspace architecture, and building out the missing pages, databases, templates, and navigation. This includes: 1. Notion Workspace Architecture & Beautification Audit the current draft and redesign the top-level structure for better flow. Create a beautifully designed, dashboard-style homepage. Example sections may include Company, Operations, Courses, Marketing, Sales, Delivery, CRM, Team Resources, and Product Development. 2. Company Knowledge Base Refine and organize core pages for Company Overview, Mission and Vision, Team Structure, Roles and Responsibilities, Company Policies, and Communication Guidelines. 3. Operations Wiki Structure our internal operations, including Lead Management, Student Enrollment, Course Delivery, Student Support, Refunds and Policies, and Community Management. 4. Course Development System The company produces multiple courses. Improve or create a system in Notion to manage course ideas, planning, curriculum development, lesson production, and publishing workflows (including a course database, a lesson database, and production tracking). 5. Marketing Knowledge Base Organize the section for marketing operations, including content strategy, social media workflows, campaign planning, a content calendar, and ad campaign documentation. 6. Sales & CRM Documentation The company utilizes a CRM pipeline. Structure the documentation pages for the lead lifecycle, lead stages, the enrollment process, sales scripts, and follow-up processes. 7. Standard Operating Procedures (SOPs) Create a structured repository where SOPs can be easily documented and accessed (e.g., how to launch a course, onboard students, respond to student support requests). Standardized, aesthetically pleasing SOP templates must be included. 8. Team Playbooks Structure clean playbooks for different departments, such as the Admissions, Marketing, Course Delivery, and Operations teams. 9. Reusable Templates Create practical, well-designed templates for recurring work: SOP template, course creation template, meeting notes template, project planning template, and campaign planning template. 10. Navigation & UX The final workspace must be incredibly easy to navigate, visually appealing, logically structured, and optimized to reduce friction for daily team usage. Deliverables The freelancer must deliver: An audit and structural redesign of the existing Notion draft. A fully cohesive, beautified Notion workspace. All required pages logically organized with a seamless navigation system. Functional databases for courses and SOPs. Reusable templates for recurring workflows. A clear, intuitive homepage dashboard. Deeply understands knowledge management systems and UI/UX within Notion. Has proven experience organizing internal company wikis from messy drafts.
