I already have a web of Zapier workflows that tie together IMAP, Nanonets, OpenAI, Xero, PDF.co and a few other services to extract data from incoming files, run OCR, protect documents with passcodes, email them out and raise invoices automatically. As things change, the Zaps need to change with them—sometimes they break, sometimes they just need to do more. I need someone who is genuinely fluent in Zapier and comfortable working daily inside these specific tools. Your job is to keep every workflow healthy, accurate and expandable: fix errors the moment they appear, streamline what already works and build out new branches when new business rules arise. Core processes you will own involve invoice creation in Xero, passcode-protecting PDFs, emailing tailored messages through IMAP and parsing just-about-anything that lands in the inbox. If a connection touches Zapier, it’s yours to maintain. Key deliverables • Audit and document the current multi-step Zaps • Correct any present or future execution errors promptly • Extend existing flows or create new ones when new data sources, destinations or logic are required • Provide clear notes so anyone can understand what was changed and why I treat this as an ongoing, near full-time responsibility rather than a one-off gig, so I’m looking for someone who enjoys living inside automation dashboards and sees problems before they reach production.
