Systems Architect Needed to Design Operational Workflow Blueprint Project Overview We are building a global destination content program that requires a fully integrated operational system. We already have a GoHighLevel specialist who can implement workflows, automations and pipelines, but they require a clear, technically accurate architecture and blueprint to follow. We need a systems architect to design this blueprint, ensuring seamless integration across: Sales Onboarding Content production Digital asset management (DAM) ingestion Distribution to industry partners Reporting and analytics A DAM platform partner is already in place, so the role focuses on workflow mapping, integration logic, metadata structures, and system orchestration. Scope of Work 1. Sales Workflow Architecture Map CRM pipelines and stages Define automations for leads, proposals, agreements, and onboarding Specify triggers, reminders, tasks, and notifications Create dashboard requirements and data flow 2. Onboarding Workflow Design Map the full onboarding journey from agreement to content delivery Define required forms, data capture, compliance steps, and approvals Build a detailed 30-day onboarding workflow blueprint Provide exact instructions to the GHL implementer 3. Content Production Workflow Define processes for content upload, QC checks, approval flows, translations, metadata handling Map triggers, dependencies, task routing, alerts Establish file naming conventions and metadata schema Integrate content stages with DAM ingestion requirements 4. DAM Integration Requirements Map integration points between internal workflows and the DAM Define metadata fields, asset groupings, and naming standards Set rules for asset movement: upload → QC → approved → language versions → delivery packs 5. Distribution & Delivery Workflow Map packaging requirements for industry partners Define the workflow for content provider review, approval, upload and live status Specify dashboards and tracking logic Provide integration specifications for triggering distribution events 6. Reporting & Analytics Design monthly reporting process Specify data sources, metrics, fields, and automation requirements Define how analytics will be pulled from the DAM and internal tools Outline dashboards for internal teams and external stakeholders Required Skills Experience in systems architecture or business process design Strong understanding of workflow automation platforms Knowledge of SaaS integrations (APIs, webhooks, Zapier/Make, etc.) Understanding of media, QC, metadata, or digital content workflows Ability to map complex processes into clear, implementable workflows Strong documentation and technical communication skills Experience designing systems for sales, onboarding, operations or content production teams Deliverables Complete systems workflow blueprint covering sales → onboarding → production → DAM → delivery → reporting Written specifications for every stage and trigger Integration and data flow diagrams Metadata and naming templates Implementation instructions for the GoHighLevel technician SOPs for internal teams Support during Q&A with the implementer Contract Details Duration: 2–3 months (with potential extension) Remote Flexible schedule Opportunity for ongoing consultation as the platform evolves How to Apply Please provide: Examples of systems or workflow architectures you have designed Experience with automation platforms or integrations Background in media, digital workflows, or content operations (if applicable) Your rate for 20 hour work week Availability
