Your core mission is to make sure messages are answered, books stay tidy, and everyday processes feel effortless. Communication management – Triage and respond to incoming emails so only the most important reach me. – Coordinate phone calls with clients, suppliers, and team members, noting any actions that follow. – Own the calendar: schedule meetings, send reminders, and prepare quick agendas when needed. Account reconciliation & reports Each week you’ll reconcile bank and card transactions in our cloud accounting software, flag any anomalies, and compile a concise snapshot of cash flow and outstanding invoices. A simple month-end summary that I can read in two minutes is the goal. Operational workflow streamlining Where you spot repetitive admin work, document the steps and suggest smarter ways—whether that’s a new template, an automated rule, or a clearer checklist. Implement once approved and circle back if tweaks are required. Deliverables • Daily cleared inbox with action items highlighted • Updated call log and meeting schedule by close of business • Weekly reconciliation completed with summary report • Monthly process-improvement note (one page max) Success looks like fewer distractions for me, cleaner books, and smoother daily operations across all companies.
