Our sheet-metal and mechanical component company is overhauling its sales system so that every enquiry, quotation, and order moves through one data-driven workflow instead of scattered spreadsheets and emails. The backbone will be Zoho CRM, but it must speak fluently with Zoho Books for quotes / invoices and Zoho Projects for job execution—all in real-time. The sales pipeline itself will stay close to a standard model; I simply need a few stage tweaks that match how we negotiate engineering changes and confirm production slots. What matters is the logic built around those stages: multi-level, automated approval workflows (using Blueprint and Deluge, if needed) that ensure pricing, credit limits, and capacity checks happen before any document reaches the customer. From day one I want decision-ready information, so custom reports and dashboards are essential. Initial focus is sales performance metrics and customer behaviour trends, with room to plug in more advanced analytics or AI later. Key deliverables • Configure Zoho CRM pipeline with modified standard stages • Build automated, role-based approval workflows across quotation, order, and change-request steps • Enable real-time sync to Zoho Books and Zoho Projects, including field mapping and error handling • Design at least five interactive dashboards plus underlying custom reports • Provide process documentation and a live hand-over session for our sales and accounts teams Acceptance criteria: an end-to-end test where a sample RFQ converts to a delivered project, each approval triggers correctly, data appears instantly in Books and Projects, and dashboards update without manual refresh. Once that runs flawlessly, the job is complete.
